AKA Naming Pty Ltd (AKA, we, us or our) respects your privacy. This Privacy Policy explains how we collect, use and handle personal information when you visit our website, contact us, engage our naming services or use the AKA Naming platform.

1. Information we collect

We may collect:

• your name, business email address, company and contact details;  account and login information;  
• billing and payment information, with payment processing handled by our payment provider;  
  information you provide when contacting us, requesting a demo or subscribing to communications;
• naming briefs, prompts, project information, documents, names, comments and other content you choose to upload;
• names and other content generated or developed through your projects; and  
• technical and usage information about how you use our website and platform.

AKA Naming is designed for business and professional use by people aged 18 or over.

Please do not upload sensitive personal information, health information, confidential personal records or other regulated personal information unless we have expressly agreed that it is necessary for the service.

2. How we use information

We use information to:

• provide and operate our website, naming services and platform;
• establish and manage accounts, subscriptions and projects;
• generate, organise, evaluate and screen naming content;
• enable collaboration on naming projects;
• provide support and troubleshoot problems;
• process payments and administer subscriptions;
• communicate with you about our services;
• maintain the security and integrity of our services; and
• meet legal, accounting and contractual obligations.

3. AI and project information

AKA Naming uses artificial intelligence and other technology as part of the naming process.

We do not use your uploaded documents, naming briefs, confidential or proprietary information, or other sensitive project materials to train our AI models or add content to AKA’s proprietary Namebank.

AKA’s Namebank is created and maintained independently by AKA and its founders. Customer-created and customer-uploaded project content is not added to it.

We may use generalised or aggregated information about how users respond to naming suggestions, such as broad patterns in names users prefer or reject, to improve the performance of the platform.

This information cannot be linked back to a particular customer or project and does not include customer briefs, uploaded documents or proprietary project information. We currently use third-party AI technology including Anthropic’s Claude and AWS Bedrock. These services are configured so that customer inputs and outputs are not used by those providers to train their underlying models.

4. Service providers and international processing

We use trusted service providers to help operate our business and platform, including providers of:

• cloud hosting and infrastructure, including Amazon Web Services;
• AI and technology services;
• payment processing, including Airwallex;
• email and business communications, including Microsoft 365;
• website hosting and content management, including Webflow;
• analytics, including Google Analytics; and
• trademark, linguistic and other naming-related screening services.

These providers may process personal information on our behalf where necessary to provide their services.

The AKA Naming platform uses Amazon Web Services infrastructure, and information may be stored or processed in Australia or the United States. Other service providers may also process information in Australia, the United States or other countries in which they operate.

Where personal information is processed outside Australia, we take reasonable steps to ensure it is handled appropriately and in accordance with applicable privacy requirements.

We do not sell personal information.

5. Cookies and analytics

We use cookies and similar technologies that are necessary to operate our website and platform.

We also use Google Analytics to understand how visitors use our website and services. This may include information such as browser type, device information, pages visited and general usage information.

You can control or delete cookies through your browser settings. Disabling some cookies may affect how parts of our website or platform work.

We do not currently use website visitor information for targeted advertising or behavioural retargeting.

6. Retention, security and deletion

We take reasonable technical and organisational steps to protect personal information from misuse, loss and unauthorised access, modification or disclosure.

You can delete individual projects, uploaded documents or your account through the platform or by contacting us. When you delete a project or close your account, we stop using the relevant project information and remove it from active storage. Deleted project information may remain in our systems for up to 60 days while deletion processes are completed.

Backups may retain deleted information for up to 90 days. Information retained only in backups is not used for ordinary business purposes.
We may retain limited account, billing and administrative records for up to one year after account closure, or for longer where reasonably necessary to meet legal, accounting, tax or dispute-resolution requirements. When personal information is no longer required, we take reasonable steps to delete or de-identify it.

7. Access, correction and privacy requests

You may contact us to:

• ask what personal information we hold about you;
• AI and technology services;
• request access to or correction of your personal information;
• email and business communications, including Microsoft 365;
• request deletion of information where applicable;
• unsubscribe from marketing communications; or
• raise a question or complaint about how we handle personal information.

We may need to verify your identity before acting on a request.
If you make a privacy complaint, we will review it and respond within a reasonable period.

8. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology or legal obligations. We will publish the current version on our website with the date it was last updated.
